Secretary

  • Manages and records all inward and outward club correspondence, making sure the necessary actions are followed up 

  • Manages legal and insurance matters 

  • Provide the necessary details to the RFU and any Constituent Bodies (CB) 

  • Maintains the records of club members and former members

  • Distributes the right paperwork to the right people in the club 

  • Organises the AGM, Management Committee and club meetings, preparing agendas and paperwork, and takes minutes 

  • Communicates any important matters between the RFU, CB, and leagues, showing a thorough understanding of the rules of all these bodies 

  • A capable manager who gets things done 

Team Manager

  • Well-organised and conscientious

  • Makes sure all players are registered before the first match by getting all the appropriate information from each player

  • Fills in team sheets and other relevant forms before matches

  • Arranges for the team jerseys to be washed between matches, and that all kit is returned after a match

  • Ensures the team turns out properly dressed for matches, mouthguards and safety studs especially

  • Makes sure players, coaches and supporters know where they’re playing and training each week

  • Represents the team at club meetings

  • Coordinates and proposes a fixture list for the team which reflects the ambitions of the

  • club in terms of playing strength and finance

  • Arrange and confirm the list in writing before the start of each season

  • Deals with match cancellations, finding new fixtures

  • Handles any fixture queries throughout the season, and confirms fixtures with opponents

  • Arranges referees and pitch booking for games

  • Ensures visiting teams are provided with kick-off times, directions to the ground, etc.

Chairman

  • Arranges and chairs Management Committee meetings, Emergency Committee Meetings and Special/Annual General Meetings 

  • Leads the club development 

  • Attends sub-committee meetings if they concern club policy  Ensures health and safety policies are created in accordance with the latest legislation and ensure that these policies are implemented by management and volunteers. 

Treasurer

  • Renews insurances annually

  • Raise invoices and undertake credit control as required

  • Deals with suppliers, coordinate timely payments, ensure appropriate documentation obtained

  • Manages cash flow

  • Monitors membership subscription income (likely in conjunction with the Secretary)

  • Financially knowledgeable, with skills covering bookkeeping, accounting.

Social Secretary

Social Media Secretary

  • Maximises publicity for the club’s games, events and activities

  • Supports the main club spokesperson in their relationships with external media

  • Oversees internal channels like the website, Twitter, Facebook, Instagram and Welcome Packs

  • Communicates results of every home game ASAP

  • Keeps up-to-date on the latest happenings in the club and the local/international LGBT/IGR community

  • Provides reports of matches where necessary

  • Oversee the club archive of records and photos

  • Ensures the fixtures and results section is kept up to date

Photographer &

Digital Media Manager

Club Medic

  • Reviews risk assessments of all activities to determine the required level of First Aid cover

  • Arranges first aid and/or immediate care training for new and existing volunteers as required

  • Make sure First Aid kits are accessible to appointed individuals, suitably stocked, in good condition and contents are in date

  • Keeps records of player medical conditions and injuries securely and confidentially and ensure first aiders are briefed on any relevant conditions along with the club Secretary

  • Ensures serious injuries are reported promptly in line with RFU

  • An experienced First Aider or Healthcare Professional

  • Empathetic, enthusiastic and dedicated to the club
